Updated September 27, 2026. Learn the customer’s first useful workflow, choose an appropriate plan, and explain a qualifying referral accurately. This guide covers the current public web experience; installed app screens can differ by released version.
What you are helping someone do
HerdFlo keeps an animal’s breeding dates, birth outcomes, weights, treatments, withdrawal dates, and pasture moves together. The first useful result is a saved animal with a real record the keeper can find again. A calculator result is helpful, but a maintained herd book is the reason to return.
Good prospects include homesteaders, small livestock operations, and keepers who currently piece together notebooks, phone photos, and spreadsheets. Ask whether they need livestock records or a broader crop, inventory, and farm-business system. FarmsFlo is a separate product; a HerdFlo subscription should not be described as paying for the entire FarmsFlo platform.
Do not position HerdFlo as a veterinary service, a guaranteed birth-date predictor, an automatic livestock scale, or a compliance certification. It records information entered by people. A prospect requiring a particular tag-reader integration, automatic medication recommendations, or a fully automated commercial production system needs a specific capability check before you recommend purchasing.
Discover the customer’s actual problem
Start with four or five questions:
- How many animals do you keep, and which species?
- Where do breeding dates, treatments, and weights live today?
- What information was hardest to find the last time you needed it?
- Do you enter records outside cellular coverage?
- Do you need an individual animal history, an overview of upcoming dates, or both?
- Who makes health decisions and verifies medication withdrawal instructions?
- Would a five-animal starting point let you try a real workflow?
Reflect the answer: “You want to open one animal and see its last treatment and recorded withdrawal date without looking through three notebooks.” Then show that workflow. Avoid a tour of every control before solving the stated problem.
Plans and the correct paid conversation
The current public web offer is:
| Plan | Price | Practical fit |
|---|---|---|
| Free | $0 | Up to five animals, breedings and outcomes, weights, treatments, moves, calculator/calendar-file download, and a downloadable backup |
| Pro monthly | $5.99/month | Unlimited animals, herd due-date/withdrawal calendar, optional email alerts, growth calculations, and complete history CSV |
| Pro annual | $39.99/year | The annual Pro option, paid on an annual billing cycle |
Free users can start a one-time 14-day Pro trial from Upgrade, without a card or an automatic charge. Explain the distinction between this trial and purchasing a renewing subscription. The monthly and annual purchases renew until canceled. Existing lifetime purchases remain honored, but lifetime is not a current new-purchase offer.
Choose by need. A keeper with three animals who wants basic treatment records can stay Free. A keeper with twelve animals needs Pro for additional animals. Someone with four animals who wants the herd calendar or complete CSV history can find value in Pro without having a large herd.
Read the actual checkout or native store sheet before quoting the final total, currency, eligibility, or renewal date. Do not assume an older installation has the newest web layout. Returning to Free retains access to saved records and downloadable backup; it does not grant unlimited new additions on the Free tier.
Lesson 1 — Use the calculator correctly
The calculator works without an account. Begin at HerdFlo and choose Calculate a due date. Select the appropriate species and direction: breeding date to estimated due date, or target due date to estimated breeding date. Enter the known date. Cattle breed presets can adjust the estimate, and an advanced custom gestation length is available.
Calculate and review the result together. The date is an estimate; individual animals vary. The management timeline is for planning, and health decisions belong with the keeper’s veterinarian. Do not interpret the calculator as diagnosing pregnancy or prescribing treatment.
Add to calendar (.ics) downloads a calendar file. A download must then be opened/imported into the customer’s calendar. This is different from automatic calendar synchronization. Print uses the available print workflow. Share shares the result through the available mechanism. Remind me offers an email heads-up around two weeks before the estimated date; it is not a guaranteed emergency alert.
Use a fictional date when demonstrating. Do not choose a made-up date for a real animal just to finish the screen.
Lesson 2 — Create a herd and the first animal
Have the customer begin from your personal HerdFlo link copied from Residual Apps. They choose Start my free herd book or Create my free account and enter their own account details. Keep their password private. The free account does not require a paid plan.
Explore a sample herd is a useful preview before registration. Explain that its animals are examples, not the customer’s saved records. Once signed in, open My Herd and + Add animal. Enter the identifying details for one real animal: a useful name or tag, the right species, and accurate available profile information. The form may carry a calculator’s date into the new-animal workflow; review it rather than assuming it belongs to this animal.
Save with Add animal, or Save animal and due date when that combined form is shown. Confirm the animal appears and open its detail. Use the herd’s search and filtering to find it again. Optional information can be filled in later; inventing parentage or a birth date creates an unreliable record.
To correct profile information while online, open Edit animal details, change the relevant fields, and select Save animal details. Check the saved result. Deleting an animal is not a safe shortcut for correcting one mistaken record.
Lesson 3 — Record breeding and the outcome
Open the animal and choose Breeding or birth. Record the actual service date and the appropriate breeding information. Review the calculated estimate and save. Keep a breeding entry distinct from a confirmed birth; an approaching date does not mean the animal has delivered.
When the outcome is known, use the breeding record’s outcome controls. Record birth outcome asks for the outcome date and relevant details; available fields include number born, optional birth weight, and species-appropriate details. For cattle, an optional calving-ease value can appear. Record only what was observed.
The current web workflow can Add linked offspring to My Herd. Review the offspring details and available animal capacity before saving. Multiple offspring belong to the same breeding outcome; avoid entering multiple unrelated breeding records to represent a litter. Where linked offspring already exist, edit their own details through My Herd rather than creating duplicates.
A pregnancy loss is a different outcome, with its own date and notes. Keep descriptions factual. The tool organizes records for future decisions and veterinarian conversations; it does not establish the medical cause of a loss.
Lesson 4 — Weights, treatments, and moves
Use Weight to enter an observed weight with its date and the displayed unit. Two accurate dated weights are more useful than several guesses. Pro’s daily gain and 30-day projection are calculations based on records, not a promise about future growth. Check units and dates before interpreting a surprising result.
Use Treatment for the actual treatment given. Record product, dose, date, notes, and applicable withdrawal dates from the keeper’s verified instructions. The app cannot make an incorrect entered withdrawal date safe. An affiliate should never decide dosing or clearance for sale, milk, or slaughter. Direct those questions to the veterinarian and product label.
Use Pasture move to record movement information. Show where the saved record appears before moving on. Establish a routine: identify the correct animal, enter the event once, save, and reopen its history. If saving reports an error, check whether the entry actually appears before entering it again.
Lesson 5 — Work with limited signal
While online, sign in and load the herd on the device that will go into the field. Previously loaded records can then be viewed without a signal. The current web experience queues new animals, breedings, weights, treatments, and moves. Pending records are marked, and they sync when connected.
Editing, deleting, uploading photos, signing in, and purchasing require a connection. Offline entry is not a claim that every feature works disconnected or that a photograph has uploaded successfully. Keep original photos until upload is confirmed.
Reconnect, keep the same account signed in, and check the pending status. Use Sync now when available. A queued entry is not yet proof that a second device can see it. Wait for synchronization and reopen the animal to confirm its history.
If a queue is blocked, preserve it with Download pending records before seeking help. Do not casually choose Discard unsynced changes…, clear browser storage, uninstall, or sign out as troubleshooting. Those actions can lose locally pending work. Give support the error and the queue status without sending private animal/business records publicly.
Lesson 6 — Calendar, exports, and billing
Pro brings upcoming breeding dates and treatment withdrawal dates together in a herd calendar and offers optional email alerts. Check the underlying record if a date looks wrong. Verify email preferences and spam folders when messages are missing; never promise exact delivery timing.
Download my records provides the backup available to Free and Pro. Keep the file somewhere the customer controls and verify it actually saved. Pro’s complete-history CSV serves a different purpose: reviewing records in a spreadsheet. Spreadsheet import of animal details is not a complete historical restore; breeding, weight, and treatment history are not imported through that animal-import route. Do not claim photos are included in a JSON backup.
For a web subscription, use Manage billing in My Herd. Store subscriptions are managed in the Apple or Google account used to purchase. Compatible installed apps provide Restore purchases. If charged but still Free, check the app login, original store account, connection, and restore/confirmation status before buying again.
Cancellation stops future renewals according to the purchase terms. Account deletion is a separate permanent action. Download wanted records and read the displayed consequences; deleting an app or account must not be presented as canceling a store subscription.
A practical six-minute demonstration
Prepare a clearly labeled demo account with fictional “Willow Demo” and synthetic records. Do not modify a working herd or email reminders to an unsuspecting person.
- Ask which record the prospect struggles to find.
- Show a calculator estimate, explaining uncertainty and calendar-file import.
- Open My Herd, add or find Willow Demo, and show its identity.
- Save a fictional dated weight or breeding and reopen the history.
- Show the relevant next date or Pro calendar only if the demo account has access.
- Explain the five-animal Free starting point and the precise reason, if any, to consider Pro.
- Have the customer open your referral link and choose their own first animal.
A successful next step is one accurate saved record. Do not make payment the only acceptable outcome of a first conversation.
Conversation examples and common objections
Introduction: “Where do you keep breeding dates and treatments now? HerdFlo lets you keep them with each animal and start with five animals free. I’m an affiliate and may earn a commission if you purchase through my link.”
After an invited demo: “Were you able to find your first animal’s record again? If so, add the next event you actually need to remember.” These are examples for a conversation, not messages sent automatically.
“My notebook works.” Ask what is missing. If nothing is missing, do not invent a problem. Searchable records and seeing dates together may be useful when papers are split across locations.
“Will it tell me exactly when she will give birth?” No. The result is a planning estimate.
“Does Free include alerts and unlimited animals?” No. Free covers up to five animals and basic records; the herd calendar, optional email alerts, growth calculations, and history CSV are Pro benefits.
“Can my whole crew share a herd?” Do not promise shared-herd invitations, task assignments, bulk operations, season summaries, or saved PDF reports from an unreleased version. This training covers the currently published core workflow.
“I bought lifetime before.” Existing purchases remain supported. Use the original account and appropriate restore/support process; do not purchase again to repair recognition.
Referral credit and support
The September 27 Residual Apps catalog advertises HerdFlo rewards of $2 per qualifying monthly subscription payment or $12 per annual subscription payment. An annual customer does not generate twelve monthly $2 payments. Treat these as published program terms, subject to qualifying attribution, paid transactions, refunds, and the current partner agreement.
Copy your own HerdFlo link/QR from the dashboard. A generic calculator link, shared animal information, or calendar file is not a substitute. Have a new customer open the tracked link before registering, preferably in the same browser. Device changes, existing accounts, storage restrictions, and store handoffs can affect attribution. Check dashboard clicks and paid-subscription activity separately; neither a click nor a free trial is earnings.
Product help: support@farmsflo.com. Include account email, device/app version, record type, exact error, purchase channel when relevant, and whether unsynced records exist. Never send passwords or full payment details. Referral questions go to support@residualapps.com with the relevant product and dashboard evidence.
The quoted rewards are gross commissions. Under current standard terms, Residual Apps keeps 20% of commissions earned, capped at $9.99/month. Review the partner-program training for payout timing, eligibility, and the shared program process.
Readiness check with answers
- Four animals, basic weights and treatments: which plan? Free can fit.
- Twelve animals or a complete-history CSV? Pro.
- Does the no-card trial automatically charge? No; purchasing a renewing subscription is separate.
- Does an .ics download automatically sync future updates? No.
- A weight is queued offline: can you clear storage? No; sync or preserve pending records first.
- Who determines treatment and withdrawal instructions? The keeper with qualified veterinary/product guidance, not the affiliate.
- Annual referred purchase: what is the published reward? $12 for a qualifying annual payment, subject to program terms.
- Charged but Free: buy again? No; confirm account/channel, restore where available, and contact support.
Before promoting, practice adding and finding an animal, saving one accurate demo record, explaining Free versus Pro, locating backup/billing/support, and copying your own tracked link.
